Service provider disclosure updated August 12, 2026.
Information we collect
RoomWave collects account and role information; venue, location, zone, staff, and permission settings; information about paired devices; playlists, preferences, playback history, queues, downloads, entitlements, and diagnostics; billing identifiers and paid period status; support communications; and necessary session and security records.
Stripe processes payment card and bank details. RoomWave does not store full card numbers or bank account credentials.
How we use information
We use information to authenticate users, deliver playback and offline access, manage venues and subscriptions, preserve user settings, provide support, secure the service, prevent abuse, improve reliability, communicate important updates, and meet contractual and legal obligations.
Service providers and disclosures
RoomWave uses providers including Stripe for billing and tax, Neon for application data, Vercel and connected storage for hosting and media delivery, Apple and Google for native app distribution and platform services, and Amazon for optional Alexa account linking, structured catalog requests, music playback, and playback lifecycle events.
Amazon processes Alexa voice interactions under Amazon's policies. The RoomWave Alexa integration receives the structured catalog requests and playback events needed to provide the service, rather than a verbatim transcript of what a user said. We may disclose information when required by law, to protect rights and safety, or during a business transaction.
RoomWave does not sell personal information or share it for behavioral advertising across contexts.
Retention and offline media
We retain information as reasonably needed to operate RoomWave, maintain security and billing records, resolve disputes, and meet obligations. We delete data or remove identifying details when it is no longer needed, subject to lawful retention and backups. Offline media managed by the app is disabled or removed when entitlement expires, a device is revoked, or the catalog changes.
Security
RoomWave uses password hashing, secure sessions, permissions enforced by the server, signed offline entitlements, protected secrets, and verified payment webhooks. Customers should use strong unique passwords, limit permissions, protect pairing codes, and revoke access promptly.
Your choices
Authorized users can update many account, venue, staff, device, playlist, and billing settings. Requests to access, correct, export, or delete personal information may be sent to cody@frg.earth. We may verify identity and authority and retain records needed for billing, fraud prevention, security, contracts, or law.
Cookies and local storage
RoomWave uses necessary cookies and local storage for authentication, preferences, offline media, playback continuity, and security. We do not use behavioral advertising cookies from outside providers.
Children and international use
RoomWave is a business service and is not directed to children under 13. The service operates from the United States, and information may be processed where our providers operate.
